Certain communications need to go to your prospects as you meet and initiate deals with them.  AXLR8 can automate these processes.  The time and effort saved can be reinvested in client contact.  One example is automating DPA permission from clients which saves our clients many hours every month.  Another example is the disclosure of commissions and other “up front” documentation requirements such as terms letters and quotes.

DPA Permission automation

Clients need to provide you with authority to use and communicate their private data to third parties. You need this permission to send client data to funders and ratings agencies.  Some of it such as personal finances may be highly confidential.  Your AXLR8 system can automatically send out these permissions requests.  You can choose from a variety of electronic media (texts, email).   On those occasions where it is appropriate, you can still mail merge a document to print out and take in for a face-to-face meeting. 

You can also customise everything from the point in your sales workflow that the permission is sought to the wording and format of the documents and messaging.  The responses may be automatically recorded and timestamped in the system.  That mean you can automate reminders in three years’ time to update the permissions for those clients with further funding requirements at that time.  The intelligence built into AXLR8 system can be configured to increase the likelihood of repeat business.  Also, it is possible to leave clients who have a 3 year old DPA until they do have a new funding requirement.

Personalisation

In AXLR8 systems where multiple different businesses are ARs, the individual businesses can use their own branded email and correspondence.  This can be centrally controlled for compliance.  Each can be personalised down to the individual rep within an AR.

Most importantly, the merger templates that each AR can choose from may be “tagged” on an individual or AR basis.  That way each person only sees their own options for client message templates. 

Client control

The Super User at the broker may control who can use which templates, the wording and all areas of compliance in the automation. 

  • Document Template Admin: Create your messages and documents as txt, html, MSWord, rtf, etc. 
    • Add subject lines with mail merge tags for emails.  For example the subject line can bring n the funding required and company name you’re your proposal reference.
    • document naming merge tags for printed hardcopy templates
    • Add tags for which user accounts may select that document for launch.
  • Also in the “context”  select the mail merge fields from the “What fields ca I use” dialogue. For example, if you launch a mail template in a proposal it will have dozens of fields you can use.
